This period involves setting up access, understanding your brand deeply, collecting essential materials, and building a strategic roadmap tailored to your needs.

Onboarding Activities & Timeline

We follow a weekly phased approach to streamline the onboarding process. Below is a week-by-week breakdown of what will happen during the onboarding month:

Week-by-Week Breakdown

1st Week: Setup & Kickoff

  • Team Introduction & WhatsApp Group:
    We’ll introduce you to your project team and create a dedicated WhatsApp group for quick, effective communication.

  • Platform Access Setup:
    You’ll be asked to grant us the required access (e.g. Facebook Page, Business Manager, Ad Manager, YouTube, etc.).

  • File & Asset Collection:
    We’ll collect brand essentials—logo, previous content, brand guidelines, and relevant references.

  • Initial Deliverables Planning:
    Based on early access and brand input, we start outlining your first creative outputs.

2nd Week: Deep Dive & Planning

  • Kick-off Strategy Meeting:
    We’ll conduct a session to understand your goals, expectations, audience, and key challenges.

  • Strategic Research & Planning Begins:
    Our team begins market research, content calendar planning, and campaign strategy development.

  • Access & Asset Finalization:
    Any remaining platform access or file collection will be completed to ensure full readiness.

3rd Week: Strategy Alignment & Production

  • Content Calendar Finalization:
    Strategy and content ideas are shaped into a practical calendar aligned with your brand and goals.

  • Creative Development:
    Our team begins producing and refining initial content and visuals for your campaigns.

4th Week: Review & Launch Prep

  • Deliverables & Execution Prep:
    We continue final creative work, and if applicable, share previews. Full execution begins after onboarding.

  • Contractual Obligations: All employees are bound by agreements prohibiting such engagements, ensuring their full commitment to IMBD Agency Ltd.

  • Consequences of Violation: Any breach of this policy by an employee may lead to immediate termination and financial penalties.

Refund Policy

At IMBD Agency Ltd., we are committed to delivering exceptional Virtual Social Media Marketing (VSMM) services that align with your brand goals. While we prioritize client satisfaction, our refund policy is designed to ensure fairness and clarity in rare cases where a refund is requested.

Refund Eligibility

Refunds are considered only in exceptional situations, such as confirmed deviations from the agreed-upon service deliverables. Requests must be made in writing within the first 15 days of the service month.

 

In significant matters including refunds, onboarding issues, or delivery disputes, official communication via email with detailed breakdowns may be required to maintain proper documentation and resolution integrity.

Calculation of Refund

If a refund is approved, the amount will be calculated based on the following:

  • Completed deliverables such as content, campaign planning, designs, etc.
  • Actual working days or man-day counts during the active service period.
  • Prorated service usage based on timeline and team involvement.
  • Non-refundable costs including onboarding, administrative setup, and strategic planning fees.

Deliverables already prepared or in progress—regardless of publication status—will be considered in the refund calculation.

Processing Time

Once approved, refunds will be processed within 30 business days, subject to proper documentation and client cooperation. 

Non-Refundable Costs

The following are non-refundable:

  • Third-party service costs such as media buying, influencer fees, and production expenses.

  • Onboarding/setup charges once the onboarding process has started.

Deliverables already completed or under development.

Project Continuity & Billing

If a project has not been formally closed with mutual acknowledgment, and the project status remains undetermined, it is assumed that your dedicated manager’s slot remains active. In such cases:

  • Charges will continue into the following month based on actual working days, man-day allocations, and deliverables prepared unless an official pause or termination is communicated.

We encourage timely communication to avoid unintended billing or resource allocation.

Service Pause or Termination

Clients may choose to:

  • Pause services for future resumption.

  • Terminate services early with a 15-day written notice.

Pending deliverables will be finalized and shared before service deactivation, where applicable.

Dispute Resolution

In case of any concern, clients are encouraged to reach out to the assigned Team Lead or escalate to Company Management for swift and professional handling. We are committed to resolving matters responsibly with transparency and accountability.
